How we work

Four weeks, and nothing goes live without your sign-off

Standardised delivery is the whole reason this is affordable. We are not inventing an architecture for you — we are configuring one that already works, which means we can tell you the timeline before we start.

  1. Step 1

    Audit call

    Thirty minutes on how work actually moves through your business — where enquiries arrive, where they stall, and which of it a machine should be doing. You leave with a written answer whether or not you hire us.

    What we need from you: Half an hour of your time.

  2. Week 1

    Discovery & knowledge

    We capture your services, hours, pricing policy and escalation rules, then ingest your documents, FAQs, price lists and — where it exists — your old database into the knowledge engine. Nothing goes live that you have not signed off.

    What we need from you: Answer the onboarding questionnaire. Send us your documents.

  3. Week 2

    Agent & console build

    We build the agents against your knowledge base and stand up your console, connected to your calendar and existing tools in a sandbox. Your live systems are untouched at this stage.

    What we need from you: Read-only access to the systems we are connecting.

  4. Week 3

    Testing

    Functional, integration, failure and AI-safety tests. We deliberately break it: wrong numbers, out-of-area callers, ambiguous requests, questions the knowledge base cannot answer, API timeouts. You review real recordings and transcripts before any customer meets it.

    What we need from you: Review the test calls and chats.

  5. Week 4

    Launch & stabilise

    Go live on a controlled portion of traffic, watch it, then open it fully. Two weeks of close monitoring with tuning included, then the monthly retainer takes over.

    What we need from you: Tell us what sounds wrong. We tune it.

Week 3

We try to break it before your customers do

Testing is not a formality here. The failure cases matter more than the happy path, because a system that goes quiet is worse than no system at all.

Functional

Every step of the flow does what the spec says, on happy paths and edge cases.

Integration

Console and CRM writes, calendar reads, message delivery, webhook retries — under real conditions.

Retrieval

The questions you actually get asked, run against your knowledge base. If it retrieves the wrong document, we find out here and not on a live call.

Failure

API timeouts, a CRM that stops responding, malformed replies. It must degrade to a human, never to silence.

AI safety

Out-of-scope questions, pricing it must not quote, aggressive callers, ambiguous requests. It escalates instead of inventing.

What we will not do

We build on a standard architecture — agents, console, knowledge engine — and configure it for you. If what you want sits outside it we quote it separately or tell you no, rather than discovering it in week three.

The agents never improvise. They answer from your approved knowledge base, and anything outside it is handed to a human.

The knowledge engine is only as good as what you give it. If your prices and policies are not written down anywhere, writing them down is the first job.

Unlimited integrations, unlimited AI usage, unlimited locations and open-ended custom development are not standard features. They are scoped and quoted separately.

If you are a one or two person operation with a handful of enquiries a day, the maths does not work yet. We will say so rather than sell you something.
